Before the vessel arrives
The agent sends the requisition. We answer with what we can supply and the schedule we can keep. Nothing is final until the other side has read the exact words and confirmed them.
Reference build. Colón Chandlers is a fictional firm; no client, vessel or figure here is real.
Colón Chandlers supplies vessels calling at the Atlantic end of the Canal. The order, the delivery and the invoice are kept as one set of papers that the agent and the vessel can both check.
| Paper | Stands at |
|---|---|
| Requisition | Confirmed by the agent |
| Delivery schedule | Shared, second version, awaiting the agent |
| Invoice | Held until the delivery is confirmed |
Sample data. The portal shows the same three papers.
The agent sends the requisition. We answer with what we can supply and the schedule we can keep. Nothing is final until the other side has read the exact words and confirmed them.
The delivery schedule says when the stores leave the warehouse, reach the quay and come aboard. If the plan moves by an hour there is a new version and a new confirmation, not a message someone may have missed.
The invoice is released only once the delivery has been confirmed. An agent is never asked to pay for a delivery that nobody signed off.
Every document carries a fingerprint of its exact wording. Paste in the copy you were sent and the portal tells you whether it is the version on file, an older one, or text that changed on the way.
Each profile sees only the documents meant for it, and every attempt to open something else is written to the record, whether it worked or not.
